Getting Started

Welcome to your new Microsoft Office 365 account!  We hope you are excited to use your new, secure and always accessible cloud-based account.

What do I do now?

We know, we get it!  This is a whole new giant platform with a lot of options that can feel overwhelming.  The two applications you will use most often are:

  1. Outlook – For Email, Calendar, Contacts, Tasks. This replaces your FirstClass Mailbox, Contacts and Calendars.
  2. Teams – For Staff Collaboration and Chats, online meetings. This replaces Conferences in FIrstClass.

There are three ways to access your Outlook email account: 

  1.  Use the portal to login. You can use this to access your account on any device and from any location, providing the device is connected to the internet and has a web browser.  The portal address is: https://portal.office.com Please ensure that when you have finished using your account, that you sign out of your account, especially if this is on a shared computer!
  2. Use the Outlook 2019 or 365 client that is installed on your work computer. Our district policies require that the use of this client is to only be used on district-managed devices.
  3. Download the Outlook App and the Teams App on your mobile device. This app can be found by going to the App store of your device.  It is a free download.

Login information

Username:

Your username for the portal will be your complete email address that will be provided to you.  Your email address will now end in:  @deltaschools.ca.

Password:

Your password for your account is your Employee Connect password.  If you are a new employee, this password will be included in your hire package.

Notes About Your Outlook Account

  • Your new mailbox size is 100 GB.
  • Attachment size limit is 25 MB. This is standard across almost all email platforms.  This is important to note because up until now we have not limited attachment file sizes in FirstClass.  There are now multiple ways to share large files now that don’t involve sending an email message.

  • Once your FirstClass account has been migrated, messages received in your FirstClass account will be forwarded to your Outlook @deltaschools.ca account.

Please Note: If your FirstClass mailbox goes OVER quota, the forwarding will stop until that is fixed.  This means that you will still need to manage your FirstClass mail quota by logging in and deleting any unnecessary messages.  Since your new messages received will now be duplicates, there is no need to keep a copy of these in FirstClass.

  • FirstClass will be available for one year from the completion for our migration (so until approximately June 2022).
  • The Outlook client is only available to use on district-managed devices. If you need to access your mail or calendar on a non-district computer, please use the portal.  Make sure you sign out when finished, especially if it is a shared or public computer!

Notes about Microsoft Teams

We will be using Teams to replace our FirstClass conferences.  We will be building up Teams as we go, so content will constantly be added as we move through the migration and beyond.  Moving all of the content over from the conferences we currently have in FirstClass to Teams is simply not possible or desirable.  The most important and current content will be moved first and will be evaluated as we go.

As a starting point, each school and each department will have a Team specifically for them and there will be a District-wide Sharepoint site that is currently being created to replace our “All Staff” conference.  We will be adding Teams for specific needs as we go!  At this time, the ITS department will be creating new Teams and we will have a “Request a Team” request form setup soon.

You will still need to use FirstClass for some of the conferences that are not yet moved over.  It would be very helpful for us if you could let us know if you find that you are accessing specific conferences frequently, so we can properly prioritize the conferences that need to be migrated first.  With over 15 years of content in our FirstClass conferences, a lot of the content is no longer needed or used.

Teams is currently only going to be used for staff collaboration.  Students will not be accessing Teams at this time.

Finally, you can use Teams for your online meetings.  ANYBODY (staff, parents, external people) can be invited to a Teams meeting that you create/organize.  The functionality is similar to Zoom. (Please note: Our Zoom licence will expire in the summer of 2021)

  1. How do I login to Office 365?
    Use your @deltaschools.ca username and password.

  7. Is there message history?
    No, but you can turn on read receipts.
  8. Can I unsend a message?
    You can recall a message, but there are some limitations.  Click here for more information.
  9. I didn’t receive a message that I was expecting.  Where can I find it?
    Most likely, your message is in your new JUNK folder.  Please check there.  It takes a bit of time for the system to learn what is junk and not junk.  Right-click on the message and choose either Junk or Not Junk to let Outlook know what type of message it is.
  10. Why is @deltasd.bc.ca address listed when I reply to all?
    This is a result of our messages being forwarded from FirstClass to Outlook.  This will lessen as our transition progresses.
  11. Why did I receive an NDN message in Outlook saying that my address could not be found?
    This happens when you Reply or Reply All to a message from FirstClass AND include your @deltasd.bc.ca account in the reply.  A copy will be sent to your FirstClass account, but it will not NOT forward back through to Outlook as it must close the loop.  Since you already have this message in your Outlook sent folder, you do not need to receive an extra copy in your Outlook inbox.  This is expected behaviour.
